General Responsibilities of the Committee

  1. Maintain a good working relationship with the Owners of the Club.
  2. Apply fair representation of the views of all bona-fide members of the Seniors Section.
  3. Provide a visible, accessible presence within the section.
  4. Propose local rules for Seniors Competitions which have the sole aim to protect the course from unnecessary damage, especially during the winter months.
  5. Encourage members to develop their own knowledge of the game and to participate in competitions.
  6. Ensure safety on the course is a priority for everyone and any problem areas are brought to the attention of the Owners.
  7. Maintain the Sections Funds in an accurate and responsible manner
  8. Agree the authorized signatories to the bank account.
  9. The surplus should not exceed £500 more than predicted outgoings (if it maintains a higher level this can be managed downwards by reducing competition entry fees or increasing expenditure on members activities.
  10. If the Section ever closes any remaining balance will be dispersed as the committee determines but in keeping with the general aims.
  11. Encourage good conduct by all members; reporting any serious allegations of misconduct to the Owners and support the Owners in investigating and resolving any allegations of misconduct of a member should it be required.

The Seniors Captain is the public face of the Section and his duties include: –

  1. Chairing Annual General Meetings, Committee Meetings and the Presentation Meeting.
  2. Making arrangements for league and friendly matches with other clubs.
  3. Liaising with catering staff for general meetings, invitation and open competitions.
  4. Liaising with the club in relation to the arrangements for invitation days and open competitions.
  5. Promoting opportunities to play golf at other clubs at awaydays.
  6. Acting as host during matches and attending to visiting club captains.
  7. Presenting prizes at the annual presentation meetings and at awaydays.
  8. Liaising with other committee members, members of the section and the club to ensure the smooth running of the section and effective representation of members interests.

Secretary

  1. Takes notes of committee meetings, AGMs and EGMs and when approved, ensure they are placed on record.
  2. Coordinates all administrative functions associated with the business of the Committee
  3. The production of flyers for open days.
  4. Invitations for presentation events.
  5. Trophy engraving.
  6. Preparation of notices and nomination sheets for AGM to be published one month in advance.
  7. Receiving written proposals for the AGM (14 days in advance).
  8. Taking appropriate correspondence to the AGM

Treasurer

  1. The Treasurer is the custodian of the section’s funds, keeping records and producing reports, he is responsible for the payment of prizes and liaising with the club on financial matters.
  2. For Payments other than prizes obtaining the required signatures.
  3. Obtain an independent review of the accounts at year end.
  4. Presents the accounts to the AGM
  5. Maintain a list of the authorised signatories on the Section’s bank account.

Competition Secretary  (and Assistant Competition Secretary if appointed)

  1. Has day to day responsibility for the competition programme, implementing the Committee’s decisions
  2. Manage the competition programme on the computer system, arrange draws where appropriate and publish results 
  3. Making judgements in relation to active competitions and immediate rulings (members have a right of appeal to the Committee)  
  4. Consult with, and consider feedback from, members about the development of the competition programme for the following year that, subject to committee approval will be presented at the following AGM.
  5. Presently the Competition Secretary keeps the section’s emailing list and in keeping with good data protection practice takes responsibility for all email correspondence with members.   This is because most correspondence relates to Competition activity.
  6. Presently administers the Seniors Website.

Vice Captain (optional post)

The Captain may appoint a Vice Captain and delegate to him duties such as managing the League Team or deputising at friendly fixtures

Committee Meetings

  1. The Committee meets as required during the year (extraordinary meetings may be called through the secretary by any two members of the committee with seven days’ notice).
  2. Notes are ratified as quickly as possible (by email) and communicated to members
  3. The Committee will appoint at least one member to the Club’s Handicap Committee.
